LIGHTBOX IS
“LightBox” refers to LightBox Photo Booths and its owners, operators, employees, and contractors.
“Client” refers to the individual or entity booking LightBox’s services and entering into this agreement. The Client is responsible for all event guests, vendors, venue staff, and third parties present at the event.
Final placement of the photo booth is subject to venue layout, power availability, safety considerations, and LightBox’s professional judgment. While placement preferences may be accommodated when possible, LightBox does not guarantee a specific setup location within the venue.
Venue Permissions & Approvals
The Client is responsible for obtaining any required permissions, approvals, or permits from the event venue or relevant authorities for LightBox to perform services. LightBox is not responsible for service limitations or cancellations resulting from lack of venue approval or restrictions.
INITIAL 50% NON-REFUNDABLE BOOKING DEPOSIT:

Refund may be issued if informed of cancellation more than 7 days before the event date

Implement the administrative processing fee of $100.

If informed of cancellation 7 days or fewer before the event, the initial deposit is automatically forfeited to LightBox Photo Booths
FINAL BALANCE (REMAINING 50%):

The final balance is due 72 hours before the event; once paid, it is not refundable

If they cancel after the final payment, no refund
RESCHEDULING:

Rescheduling is available if requested 7 or more days before the event

Subject to availability

Inside 7 days, rescheduling is treated as cancellation, and the deposit is forfeited

Event Extensions

Any additional time or services requested during the event are subject to availability and must be paid for in full at the time of approval. Services will not be extended without confirmed payment.
CLIENT RESPONSIBILITIES:
ACCESS TO THE VENUE ON TIME:

We arrive at the agreed-upon start time (whether that be an hour or two hours before)

Require venue access at least 60 minutes before the scheduled start time

If access is late time is not extended
ADEQUATE SPACE AND TIME:
-
Client needs to guarantee 12x12 ft of physical space

A standard power outlet with reasonable distance (within 25 ft)

LightBox is not responsible for reduced services, delays, or interruptions caused by insufficient space power access or venue limitations
SAFE ENVIRONMENT:

The Client agrees to provide a safe working environment for LightBox staff and equipment at all times. LightBox reserves the right to suspend or terminate service if conditions are deemed unsafe, including but not limited to aggressive behaviour, intoxicated interference, unsafe surroundings, or damage risk to equipment. In such cases, no refunds will be issued.
ABUSIVE OF STAFF OR EQUIPMENT:

LightBox maintains a zero-tolerance policy for harassment, abuse, or interference with staff or equipment. Verbal abuse, harassment, physical interference, or intentional misuse of equipment by the client or event guests may result in immediate suspension or termination os service without refund
LIABILITY FOR DAMAGE CAUSED BY GUESTS:

The Client is financially responsible for any loss or damage to LightBox equipment caused by the Client, event guests, vendors, or venue staff during the event. This includes accidental or intentional damage. Costs for repair or replacement will be charged based on the actual cost required to restore or replace the damaged equipment.
DELAYS & INTERRUPTIONS:
DELAYS CAUSED BY CLIENT OR VENUE:

If the booth starts late due to (venue access,event schedule, client requests time will not be extended)
INTERRUPTIONS DURING SERVICE:

LightBox is not responsible for interruptions or service limitations caused by factors beyond its control, including but not limited to power outages, internet connectivity issues, venue restrictions, guest interference, or requests to pause service by the client or venue. Temporary interruptions do not qualify for refunds or automatic extensions of service time. Service will resume when conditions allow.
WEATHER & FORCE MAJEURE:

LightBox shall not be held liable for failure or delay in performance due to events beyond its reasonable control, including but not limited to acts of God, severe weather conditions, power outages, government restrictions, emergencies, venue closures, or other unforeseen circumstances. In such cases, LightBox’s obligations under this agreement shall be suspended for the duration of the event. Refunds are not guaranteed; rescheduling may be offered at LightBox’s discretion, subject to availability.
LIMITATION OF LIABILITY:

To the maximum extent permitted by law, LightBox shall not be liable for any indirect, incidental, consequential, or special damages, including but not limited to loss of enjoyment, lost profits, or emotional distress, arising from the services provided. LightBox’s total liability for any claim related to the event shall not exceed the total amount paid by the Client for the services. LightBox does not guarantee uninterrupted service, guest participation, or specific outcomes.
MEDIA AND CONTENT USAGE:

Lightbox retains ownership of all images and media captured during the event. By engaging LightBox’s services, the Client grants LightBox the irrevocable right to use, reproduce, modify, and publish event photos and media for marketing, promotional, portfolio, and commercial purposes without compensation. The client is responsible for informing event guests that photography will occur and that participation constitutes consent to being photographed. LightBox grants the client a non-exclusive license to use event photos for personal, non-commercial purposes.
GOVERNING LAW AND JURISDICTION:

This agreement shall be governed by and construed in accordance with the laws of the Province of Ontario and the applicable laws of Canada. Any disputes arising from or related to this agreement shall be subject to the exclusive jurisdiction of the courts located in the Province of Ontario.
FINAL TERMS OF SERVICE
Definitions
“LightBox” refers to LightBox Photo Booths and its owners, operators, employees, and contractors.

Booking & Payment Terms
Booking Deposit
A 50% non-refundable booking deposit is required to secure the event date. The booking is not confirmed until the deposit is received.If the Client provides written notice of cancellation more than seven (7) days before the event, LightBox may issue a refund of the booking deposit minus a $100 administrative processing fee.Cancellations made seven (7) days or fewer before the event result in full forfeiture of the deposit.
Final Balance
The remaining 50% final balance is due seventy-two (72) hours before the event start time. Once paid, the final balance is non-refundable.Failure to submit final payment by the due date will result in cancellation of services without refund of the booking deposit.
Last-Minute Bookings
For events booked within seventy-two (72) hours of the event date, full payment is required immediately to confirm availability.
Rescheduling
The Client may request one (1) reschedule if notice is provided seven (7) or more days before the event, subject to availability. Requests made within seven (7) days of the event are treated as cancellations, and the booking deposit is forfeited.
Event Extensions & Add-Ons
Any additional time or services requested during the event are subject to availability and owner approval.All approved extensions or add-ons must be paid in full at the time of approval. Services will not be extended without confirmed payment.
Setup Location
Final placement of the photo booth is subject to venue layout, power availability, safety considerations, and LightBox’s professional judgment. While placement preferences may be accommodated when possible, LightBox does not guarantee a specific setup location within the venue.

Client Responsibilities
Venue Access
The Client must provide access to the venue and setup area at least sixty (60) minutes prior to the scheduled service start time. Delays caused by the Client, venue, or third parties do not extend the contracted service time.
Space & Power Requirements
The Client must provide a minimum clear area of 10 ft x 10 ft and access to a standard grounded power outlet within 25 feet of the setup area. LightBox is not responsible for reduced service, delays, or interruptions caused by insufficient space, power access, or venue limitations.
Safe Working Environment
The Client agrees to provide a safe working environment for LightBox staff and equipment. LightBox reserves the right to suspend or terminate service if conditions are deemed unsafe, without refund.
Abuse of Staff or Equipment
LightBox maintains a zero-tolerance policy for harassment, abuse, or interference with staff or equipment by the Client or event guests. Such conduct may result in immediate suspension or termination of service without refund.
Damage to Equipment
The Client is financially responsible for any loss or damage to LightBox equipment caused by the Client, guests, vendors, or venue staff. Costs for repair or replacement will be charged based on actual replacement or repair costs.
Delays & Interruptions
